About the Role
The Portfolio Administrator works directly with Wealth Managers to implement and maintain client portfolios, address client needs, and provide superb client service. This role involves significant direct client contact and requires excellent communication and organizational skills.
Responsibilities
- Answer a high volume of requests from clients and Wealth Managers in a timely and professional manner
- Monitor a joint email inbox and Business Process workflow queue throughout the day as part of a team
- Assist client service teams with complex portfolio needs for Ultra High New Worth (UHNW) clients
- Show initiative and take ownership of each task from start to finish
- Communicate effectively in a positive manner to teammates via in-person, instant messaging, and email
- Establish appropriate accounts for new and existing clients and process account/asset transfers
- Assist in general client account maintenance, including cash needs, address changes, and adding account features
- Generate and review quarterly performance reports, tax reports, and investment management fee bills
- Build and maintain relationships with clients and Wealth Managers
- Troubleshoot and problem-solve complex issues internally and with custodians
- Become a subject matter expert on Client Service Operations policies and procedures
- Participate in continued growth planning and process engineering, developing solutions and proposing new ways of working
- Maintain client documents and records in accordance with compliance policies
- Perform other duties as assigned
Requirements
- A PRO in Word and Excel
- Knowledge of and/or experience with Black Diamond is a plus
- Knowledge of and/or experience with Salesforce is a plus
- An EXCELLENT communicator (written, verbal, and ability to make needs understood clearly and professionally)
- HIGHLY organized and capable of handling multiple tasks simultaneously
- EXTREMELY meticulous with a high degree of accuracy
- A COLLABORATOR who will mentor and help others
- Genuinely care about serving and caring for other people
- Bachelor’s degree or equivalent experience in business, accounting, finance, economics, or related field
- Minimum of 5 years of experience in client service
- Financial services or an investment management firm experience is a plus
- Team lead or people management experience is a plus
- Single and Multi-Family Office Experience is preferred
- Experience with Private Investments is preferred
- Ability to learn and memorize tasks, execute tasks independently, apply knowledge, and use judgment
- Ability to occasionally exert up to 10 pounds of force
- Ability to perform repetitive motions and substantial movements of the wrists, hands, and fingers
- Ability to use near visual acuity for document preparation, computer operation, and reading
- Ability to speak and hear to communicate with team members and clients
- Must disclose securities holdings and transactions and adhere to trading restrictions
