About the Role
We are looking for a highly organized, proactive, and trustworthy individual to support our Founder & Managing Director and our Managing Partner in daily operations. Ideally, you have prior experience as an Executive Assistant, Personal Assistant, or in a similar role, preferably within the agency, creative, media, or start-up environment. You possess strong organizational skills, a good sense of priorities, and can maintain an overview in a dynamic work environment. You communicate confidently in German and English, work discreetly, independently, and solution-oriented. You are proficient with Microsoft Office and digital tools and quickly adapt to new systems and processes.
Responsibilities
- Proactive support of our Founder & Managing Director and our Managing Partner in daily operations.
- Independent coordination of complex calendars, appointments, and priorities, as well as forward-looking management of daily business.
- Planning and organization of business trips, including travel bookings and processing of travel expenses.
- Preparation and follow-up of meetings, including document creation and tracking of agreed actions and to-dos.
- Coordination and follow-up of cross-departmental topics and ensuring smooth information flow with internal and external contacts.
- Support in resource and capacity planning, as well as maintenance of relevant administrative data, documents, and filing structures.
- Organization of conference, networking, and speaker appointments, as well as support with research and special administrative projects.
- Support in recruiting, for example, by coordinating job interviews and appointments.
- Planning and organization of internal events, team formats, and culture initiatives, as well as contributing to an inspiring work environment.
- Organization of special occasions such as birthdays, anniversaries, or farewells.
Requirements
- Several years of professional experience as an Executive Assistant, Personal Assistant, Office Manager, Operations Manager, or in a comparable organizational role.
- Strong organizational talent and a structured, forward-looking, and independent way of working.
- A keen sense of priorities, excellent time management, and the ability to maintain an overview even in a dynamic environment.
- A high degree of discretion, reliability, and responsibility when handling confidential information.
- Quick comprehension, high flexibility, and a pragmatic and solution-oriented approach.
- Strong communication skills in German and English – both spoken and written.
- Proficient use of Microsoft Office and digital tools; you quickly learn new systems and processes.
- Enjoyment in keeping an overview from behind the scenes, reliably driving things forward, and supporting executives.
