Responsibilities
- Oversee facility services.
- Manage help desk services for all locations, including remote offices.
- Plan, coordinate, and execute employee events.
- Track service request tickets from initiation to completion.
- Implement health and safety management practices.
- Monitor and respond to daily health and safety issues.
- Conduct and document regular safety inspections.
- Plan, coordinate, and execute disaster preparedness drills.
- Maintain safety-related documentation.
- Provide operational support and escalate issues.
- Act as a substitute for building operations coordinators/facility managers when they are absent.
- Escalate critical issues to senior management in a timely manner.
- Coordinate and supervise maintenance operations and construction activities.
- Manage the asset lifecycle.
- Optimize equipment placement in close collaboration with the asset management team and IT department.
- Ensure accurate asset registration and data updates in the facility management system.
- Properly assign and manage asset tags.
- Plan and support annual asset audits.
- Continuously monitor and analyze office space utilization.
- Propose and implement efficient space allocation.
- Conduct annual space reviews and confirm room ownership.
- Ensure data accuracy and improvement in collaboration with global teams.
Requirements
- Effective collaboration and persistence to guide diverse internal and external stakeholders to resolution.
- Coordination skills for cross-departmental projects.
- Adaptability and a problem-solving orientation.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Information sharing and document management using SharePoint.
- Willingness to learn facility management systems.
- Ability to build and maintain trust with team members.
- Capacity to positively influence and engage others.
- Contribute to team member motivation as a proactive team player.
- Advanced Japanese communication skills (JLPT N1 level or equivalent).
- Effective written and verbal communication in both Japanese and English.
- TOEIC score of approximately 600 or higher is desirable for online training.
