About the Role
The Accounting Assistant provides comprehensive accounting and administrative support in a fast-paced office environment. This role focuses on daily invoice processing, accounts payable and receivable activities, and timely reporting, while delivering excellent customer service to internal teams and external stakeholders. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines.
Responsibilities
- Process, upload, and code invoices on a daily basis to ensure timely and accurate entry into the accounting system.
- Enter cash receipts and billing adjustments in accounts receivable, maintaining accurate tenant and customer account records.
- Enter accounts payable invoices and verify that all supporting documentation is complete and properly authorized.
- Assist with meeting accounting deadlines and supporting ongoing accounting projects as assigned.
- Generate periodic and monthly accounting reports, ensuring information is accurate and delivered on time.
- Create new vendor numbers and maintain up-to-date vendor records in the accounting system.
- Run accounts receivable reports at least once a week and proactively contact tenants who are late on payments.
- Respond to Shared Services questions regarding payments, tenant accounts, and related accounting inquiries.
- Assist the Accounting Manager and General Manager/Assistant General Manager with day-to-day accounting and administrative tasks.
- Create vendor contracts and support the preparation, modification, and finalization of documents as directed.
- Provide general administrative support to the accounting team, including document organization, filing, and correspondence.
- Perform any other accounting or administrative duties and tasks assigned by leadership.
- Work effectively while sitting for long periods of time, maintaining focus and accuracy throughout the workday.
Requirements
- Bachelor’s degree, preferably in Accounting.
- At least 3 years of experience in an accounting, bookkeeping, or accounts payable role.
- Hands-on experience with accounts payable, including invoice entry and documentation review.
- Hands-on experience with accounts receivable, including cash receipt entry and billing adjustments.
- Working knowledge of general ledger, balance sheet, and basic accounting principles.
- Proficiency with Yardi Voyager software, including Payscan functionality.
- Proficiency with Microsoft Excel for reporting and data management.
- Strong time management skills with the ability to manage workload and meet strict deadlines.
- Effective communication skills, with the ability to provide clear, detailed information to team members and stakeholders.
- Ability to multi-task and handle multiple responsibilities in a fast-paced environment.
- Ability to work both independently and as part of a team, providing support to other departments as needed.
- Strong organizational skills with the ability to maintain an orderly workspace and an easily understood filing system.
- Demonstrated experience providing accounting and administrative support in an office environment.
- Experience reconciling accounts and supporting general ledger activities.
- Experience working with tenant accounts or similar customer account structures.
- Demonstrated ability to build positive relationships and provide excellent customer service.
- Energetic and friendly demeanor, with a professional approach to internal and external interactions.
- Comfort working with a heavy workload and tight deadlines in a structured environment.
