About the Role

This position functions as a member of the administration team, completing daily front-end tasks to ensure smooth operations in the BHMG physician practice. The Patient Service Specialist must maintain a professional and positive demeanor when interacting with patients via in-person, phone, or email. This role requires flexibility in shifts and location.

Responsibilities

  • Answers and routes telephone calls, takes messages, and ensures appropriate staff receive information.
  • Provides routine information to callers and authorized medical advice from a provider.
  • Delivers a high level of customer service to all patients.
  • Creates patient cases and documents calls and messages in EPIC.
  • Schedules patient appointments and appropriate testing.
  • Registers patients in EMR, verifies demographics, and obtains accurate health insurance information.
  • Conducts eligibility checks to ensure accurate insurance reflection.
  • Collects required insurance co-pays and prior balances.
  • Follows scheduling notes and schedules patient visits in other BHMG practices.
  • Performs daily pre-visit planning, including running insurance eligibility.
  • Obtains prior authorizations and/or insurance referrals as needed.
  • Performs outreach to select patient groups for care and quality measurement.
  • Schedules specialty appointments and testing as required.
  • Works in EMR buckets as directed.
  • Informs manager of administrative supply needs or assists with ordering.
  • Follows up with providers on missing slips and creates claims in EPIC.
  • Works assigned revenue cycle buckets as directed.
  • Works independently with minimal supervision.
  • Adheres to SMG policies.
  • Ensures patient confidentiality through discretion.
  • Performs other duties as requested.

Requirements

  • One to three years of experience as a medical assistant preferred.
  • Strong customer service excellence expected.
  • Excellent communication and interpersonal skills required.
  • Experience with EMR strongly preferred (Athena a plus).
  • Experience with Microsoft Office, Word, Excel, and Outlook preferred.
  • Must be able to work independently with little supervision.
  • Adheres to SMG policies.
  • Always uses discretion to ensure patient confidentiality.
  • Driving is required.
