About the Role

The Executive Assistant is a key member of the global Corporate Communications team, directly supporting the Vice President, Wealth Management and Insurance Communications and Vice President, Technology & Operations and AI Group Communications. This role involves managing VP schedules, team calendars, onboarding, coordinating support services, processing expenses, arranging travel, supporting team meetings, and facilitating information sharing in a fast-paced, confidential environment.

Responsibilities

  • Coordinate and maintain the VPs’ calendars, responding and helping prioritize as appropriate.
  • Coordinate logistics and organization of meetings and team events, providing post-meeting support as needed.
  • Manage the VPs’ records and business expenses, and ensure invoices and bills are promptly paid; prepare and approve expenses according to delegated authorities.
  • Coordinate arrangements for employee changes and onboarding plans for new hires, including equipment and premises requirements and ensuring adherence to policies and procedures.
  • Manage travel arrangements including itinerary where needed, ensuring seamless travel and efficient use of budgeting and resources.
  • Maintain team calendars, SharePoint sites and generally facilitate the efficient sharing of information across the teams.
  • Collaborate with Brand, Marketing, Communications & Citizenship EAs on other cross-team initiatives.

Requirements

  • 3+ years of Executive or Administrative support experience supporting senior leadership.
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook); Intranet and Internet navigating and research skills.
  • Strong organizational skills and attention to detail; an ability to multi-task and prioritize.
  • Strong interpersonal relationship skills in liaising with various levels of staff, including senior management and executives.
  • Sound judgement and discretion, problem-solving skills and resourcefulness.
  • Ability to anticipate needs and flag questions or opportunities.
  • Strong communication skills, both written and oral.
  • Enjoys working in a fast-paced environment as a team player.
  • Related experience within a matrixed corporate environment.
  • Familiarity with AI tools and an interest in applying it professionally.
  • Event planning and execution experience.
