About the Role

The Service and Delivery Integrity Support Assistant is responsible for billing and clerical functions supporting Service, Delivery Integrity, and Implementation services. This role involves completing various clerical tasks, handling high volumes of filing, scanning documents, and responding to customer inquiries. The position requires flexibility to work overtime during peak seasons, including Saturdays, to manage increased workloads.

Responsibilities

  • Prepare and Price completed Service tickets
  • Check for repeat calls and part warranties
  • Check vendor invoices against materials used
  • Enter all Service and Implementation Billing data into Esys
  • Prepare invoices for review by Service Manager before mailing to customers
  • Enter payroll for Service Techs and clerical staff
  • Review and approve parking violations for payment
  • Upload invoices and receipts for credit card payments, close out statement and provide monthly accrual to accounting
  • Assist in maintaining Recommendation P&L
  • Upload all Heights Management invoices
  • Check customer oil delivery status for service contract renewals
  • Prepare Mail merge and process all service contract renewals
  • Provide coverage of department phone lines
  • Support Service and Delivery Integrity management as needed
  • Complete clerical tasks including high volume of filing of vendor and supply house invoices, service tickets, trip cards DAR renewal fees, approved certificates, efficiency tests, service contracts and a variety of other essential documents
  • Handle scanning documents for service contract renewals and recommendation letters
  • Work overtime during the week, as well as Saturdays to meet increased workload, depending on the season (summer/winter)

Requirements

  • 1-2 years related experience in a service, dispatch or transportation logistics environment
  • Strong numbers aptitude (solving math problems, finding patterns, and working with data)
  • Ability to work well with others, organize workload, and complete tasks efficiently in a fast-paced environment
  • Strong written and oral communication skills
  • Excellent customer service and interpersonal skills
  • Excellent computer skills, including working knowledge of Microsoft Office applications including Excel and Word
  • Prolonged periods of computer data entry and use of mouse, minimum of 3-4 hours per day
  • Frequently reaching above head, stretching, and bending to complete filing in a cabinet that stands approximately 6 feet high
  • Prolonged periods of sitting/standing at a desk, file cabinets and copy machine for a minimum – 3 to 4 hours per day
  • Frequently lifting and carrying light objects (up to 10 pounds)
  • Constantly using hands and fingers for repetitive motion tasks including sort and handling documents
  • Moving within the office
  • Ability to communicate clearly over the phone, video conferencing and in person
