Responsibilities

  • Perform a variety of advanced office/administrative support duties.
  • Monitor budgets and business affairs.
  • Schedule meetings and manage student information.
  • Assist faculty in administrative tasks.
  • Control workflow of the office.
  • Develop and implement office procedures and practices.
  • Assign and monitor student workers.
  • Assist the department chair in administrative duties.
  • Prepare requests for spend authorizations and service requests.
  • Answer inquiries on general and technical matters.
  • Assist faculty with travel process and procedures.
  • Supervise the scheduling of meetings, collection of meeting minutes, and organizing files.
  • Obtain bids and price quotes from vendors to order office supplies and equipment.
  • Monitor inventory of supplies.
  • Create and manage office filing systems.
  • Receive, open, and screen mail for the department.
  • Assist students with registration.
  • Assist the department chair with budgeting, scheduling, and program planning.
  • Assist the department with ordering food, scheduling rooms, and planning department events.
  • Foster an inclusive and productive team culture.
  • Supervise student workers.
  • Perform other duties as assigned.

Requirements

  • High School diploma or GED and 2-4 years of general work experience.
  • AA/AS may be substituted for 4 years of required work experience.
  • BA/BS may be substituted for up to 4 years’ work experience.
  • Advanced knowledge of office and administrative practices and principles.
  • Skilled in operation of computers, related software applications (MS Office Suite, Adobe, and similar programs).
  • Knowledge of standard office equipment.
  • Knowledge and skill in accounting and budgeting techniques and principles.
  • Ability to communicate effectively orally and in writing with a diverse population.
  • Must be detail oriented and organized.
  • Ability to exercise discretion and ensure a high-level of confidentiality.
  • Ability to establish and maintain effective and harmonious work relations and work collaboratively across functions, levels, and departments toward shared objectives.
  • Experience navigating policy requirements at an academic institution.
  • Ability to provide and receive direct and constructive feedback.
  • Passion for and familiarity with HBCU student populations and culture.
