About the Role
Partner directly with our head of Navan Travel Marketplace in a fast-scaling technology and product organization. Act as a strategic partner, gatekeeper, and operational engine, managing chaos so the executive can focus on building the future.
Responsibilities
- Own and optimize a complex, shifting calendar across multiple time zones, prioritizing meetings to focus on high-leverage activities and preserve deep work time.
- Schedule meetings contextually, anticipating needs based on tech/product org rhythms like sprint planning and roadmap reviews.
- Prepare the executive for meetings by gathering agendas, context, metrics, and pre-reading materials.
- Plan and execute large-scale team events, including offsites, hackathons, and global all-hands meetings.
- Coordinate global travel logistics and manage expense reconciliation.
- Manage ad-hoc operational projects, track action items, and follow up with cross-functional partners.
- Draft, edit, and proofread internal announcements and team updates on behalf of the executive.
- Act as a bridge between the executive and their global team, partners, and cross-functional teams.
- Handle highly sensitive information, including product roadmaps, personnel changes, and financial data, with absolute discretion.
Requirements
- Familiarity with modern tech company operations.
- Proficiency in tools like Slack, Google Workspace, Jira, Confluence, and modern AI productivity tools.
- Understanding of tech terminology (e.g., sprints, deploys, roadmaps, APIs).
- Ability to navigate ambiguous, hyper-growth environments and independently determine execution strategies.
- Exceptional communication skills with a sharp eye for detail and ability to draft executive-level communications.
- High emotional intelligence (EQ) to read the room, anticipate needs, and build trusting relationships.
- 5+ years of experience as an Executive Assistant.
- 2+ years of experience supporting an executive within a fast-paced technology, engineering, or product management organization.
