About the Role
Safely and effectively provide customer service, accounting, and administrative support for the division by responding to customer requests, maintaining documentation, and communicating customer needs.
Responsibilities
- Answer incoming calls regarding service schedules, account billing and general inquiries.
- Monitor accounts payable schedules and file vendor invoices daily.
- Review 60/90 – day past-due accounts weekly with the Senior Account Manager.
- Conduct collections calls to customers with overdue balances.
- Prepare monthly aging report for Assistant General Manager.
- Enter and post payments into the computer system (CSS).
- Convert route sheets into IFTA Logs.
- Maintain fuel registry and DOT required mileage reports on a daily basis.
- Provide data entry backup for route sheets and service requests.
- Manage and audit the CSS database to ensure all customer account data is accurate and current.
- Organize and maintain documents including contracts, discontinue service letters, equipment removal forms, etc.
- Provide basic troubleshooting for internal computer issues and assist the AGM with special projects.
- Interact with others in a professional and ethical manner.
- Follow department and company procedures.
- Keep up regular attendance and punctuality.
- Perform other duties as assigned for the purpose of ensuring the efficient and effective operation of the business.
Requirements
- High School diploma or equivalent.
- Knowledge of basic accounting procedures.
- Excellent customer service skills.
- Must have a valid driver’s license.
- Working knowledge of Microsoft Office, including Outlook, Excel, and Word.
- Bilingual English and Spanish preferred.
- Less than 5% travel requirement.
- Operates computer and other office productivity machinery such as calculator, copy machine and printer.
- Communicates with customers and co-workers and exchanges accurate information in-person, telephonically and via electronic devices/e-mail.
- Remain in a stationary position for 50% or more of the time.
- Review documents, organizes data and detects accuracy of information.
- Moves throughout office accessing files, office machinery, etc.
- Moves materials or documents up to 25 lbs.
- Exposed to work in outdoor weather conditions.
- Moves across wet/slippery and uneven surfaces.
