About the Role

The Office of the CEO team supports pitching new mandates and operates with a unified approach to policy, geopolitics, Canada-U.S. relations, and overall strategy. This role provides dedicated support to Vice Chairs, delivering high-level administrative and operational assistance in a fast-paced environment. The position fosters connectivity and differentiation by coordinating an enterprise-wide approach to strategic client relationships, serving as a critical differentiator for the bank.

Responsibilities

  • Oversee multiple complex calendars for senior executives, ensuring seamless scheduling and proactive anticipation of needs.
  • Arrange and manage all travel requirements, including booking flights, hotels, and ground transportation.
  • Process expense reports and invoices with accuracy and efficiency, providing guidance on expense policies.
  • Handle confidential correspondence and sensitive information with the utmost discretion.
  • Develop high-quality materials and agendas for meetings and events.
  • Manage mail distribution, arrange couriers, and maintain administrative files.
  • Build and maintain strong professional relationships with clients, internal teams, and external partners.
  • Collaborate with other Executive Assistants to promote best practices and provide backup coverage.
  • Liaise with cross-functional business units and support departments to coordinate tasks and implement process improvements.

Requirements

  • Proven administrative experience in a large corporate or financial institution.
  • Ability to navigate complex issues and manage conflicting priorities.
  • Understanding of departmental structures and professionalism in a high-expectation setting.
  • Demonstrated expertise in calendar management, travel coordination, and event planning.
  • Ability to exercise independent judgment and discretion.
  • Proactive and inquisitive nature with a thoughtful work ethic.
  • Ability to make sound decisions within scope of accountability.
  • Meticulous organization and strong time management skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and web browsers.
  • Experience with tools like Visio, Workday, Amex GBT, and COUPA is valuable.
  • Polished and professional written and verbal communication skills.
  • Ability to handle confidential information with integrity.
  • Alignment with company values: trust, teamwork, and accountability.
  • Legally eligible to work in the specified location(s).
  • Willingness to complete an attribute-based assessment and other skills tests if required.
