About the Role
The Finance and Compliance Organizer will safeguard CCSM’s funding by ensuring accurate and timely documentation for timesheets, mileage logs, and payroll. This role is crucial for maintaining compliance with grant requirements and supporting the organization's mission of empowering and defending immigrant communities.
Responsibilities
- Manage the monthly timesheet process, flagging discrepancies and ensuring accuracy for all grant-coded staff timesheets.
- Oversee the e-signature workflow for timesheet approvals, including supervisor routing and follow-up.
- Maintain grant coding accuracy on staff timesheets, collaborating with supervisors for corrections.
- Review staff mileage logs for accuracy and completeness of supporting documentation.
- Prepare payments for vendors and staff reimbursements.
- Assemble complete voucher packages for grantors, ensuring compliance with specific formatting and documentation requirements.
- Submit vouchers directly to funders and track submission status, follow-up requests, and resubmissions.
- Prepare documentation packages for independent reviews, audits, and funder site visits.
- Maintain an organized audit trail and filing system for all financial documentation.
- Flag potential documentation gaps or compliance risks to leadership.
- Support the creation of budgetary documents for funding proposals and reports.
- Maintain and refine timesheet and voucher workflows, including templates and systems.
- Collaborate with the finance team to ensure consistency across financial systems.
- Improve infrastructure to integrate grant deliverable tracking with financial systems.
- Maintain proper state and federal compliance documentation for grants.
- Document each funder’s specific voucher and documentation requirements.
- Prepare quarterly internal reports on grant deliverables, time allocation, and spending.
- Participate in monthly staff meetings and coordinating committee meetings.
- Perform other duties as assigned.
Requirements
- Commitment to CCSM’s mission, immigrant communities, and principles of collective liberation.
- Experience with timesheets or grant vouchering, preferably in a nonprofit setting.
- Excellent attention to detail and ability to work with detailed documentation under deadline pressure.
- Strong organizational skills, including the ability to track multiple submission deadlines.
- Comfort working with spreadsheets and documentation systems.
- Strong interpersonal skills and ability to follow up persistently and respectfully.
- Knowledge of public funding and government grant reporting/vouchering requirements is a plus.
- Bilingualism (English / Spanish) is a plus.
- Willingness to work in both a remote and in-person setting.
- Ability to take feedback well and possess a learning mindset.
- Directly impacted by or experience with the immigration system is preferred.
