About the Role

Goodmans LLP is seeking a Legal Assistant for a 12-month contract within their Real Estate Section. This role provides administrative and practice management support to legal professionals, requiring strong organizational skills, attention to detail, and professionalism.

Responsibilities

  • Preparing, editing, formatting, and managing legal documents, including agreements, correspondence, memoranda, presentations, and other practice-specific documents.
  • Managing file opening and conflict searches.
  • Proofreading documents against originals and preparing blackline/comparisons.
  • Preparing and processing trust and general requisitions for transactions and wire transfers, coordinating approvals, and communicating with relevant individuals.
  • Assisting with Teraview searches and retrieving land registry abstracts, PINs, and instruments.
  • Preparing draft correspondence, letters, indexes, and other legal documents based on instructions and markups.
  • Managing calendars and keeping legal professionals informed of ongoing and outstanding matters.
  • Coordinating meetings, including preparing materials, booking boardrooms, and arranging catering and AV equipment.
  • Entering dockets, preparing cheque requisitions, wire transfers, and trust documentation, and processing related transactions.
  • Assisting with the monthly billing process.
  • Coordinating work with other Legal Assistants and support services.
  • Preparing clearance letters and obtaining verbal responses from utility departments.
  • Providing back-up assistance to Assistants within the section during absences.
  • Performing other duties as assigned.

Requirements

  • Post-secondary education with a focus on legal administration or equivalent.
  • 2+ years of relevant experience within a legal professional services environment.
  • Previous real estate experience and knowledge of real estate transactions.
  • Experience with trust statements, pre-closing fund summaries, and completing requisitions for cheques and understanding of web-wire transfers is considered an asset.
  • Experience with Teraview and land registry searches is considered an asset.
  • Excellent knowledge of MS Office Suite including: Outlook and Word.
  • Knowledge of document management practices.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to organize, multi-task, and prioritize appropriately.
  • Demonstrates excellent client service and ability to anticipate client needs.
  • Strong problem-solving skills, flexibility, and the ability to work effectively with others.
  • Strong work ethic, initiative, self-direction, and advanced capability for task completion with minimal supervision.
