About the Role
The Operations Coordinator – Managed Services is responsible for the day-to-day execution supporting the MSP order-to-billing cycle. This position performs transactional work, including order review, fulfillment tasks, and revenue and billing data capture, while maintaining accurate data in NetSuite and coordinating across departments.
Responsibilities
- Reviews sales orders for completeness and accuracy.
- Performs day-to-day fulfillment tasks to ensure order completion.
- Monitors ETA dates on open orders and flags potential delays.
- Communicates order and fulfillment status, surfacing delays and exceptions.
- Organizes, tracks, and maintains purchase orders for MSP cloud services and licensing.
- Tracks recurring and non-recurring MSP services revenue and makes necessary adjustments.
- Confirms all fulfilled items are captured for billing and reconciles invoices.
- Onboards new clients into billing and invoicing processes.
- Collaborates with Finance and Accounting on month-end billing and revenue reporting.
- Maintains job/project and contract codes, sets up new contracts for revenue tracking, and follows up on renewals.
- Processes and reviews fulfillments across billing platforms mid-month.
- Confirms all revenue for the month has been reconciled and billed at month-end.
- Maintains accurate MSP order, fulfillment, billing, and cost data in NetSuite.
- Performs data entry, system updates, and inventory transactions.
- Supports the Operations Manager as a NetSuite user for the MSP operation.
- Coordinates with Inside Sales, Finance, and buyers to ensure the MSP order flow stays on track.
- Assists Finance with purchase order receipt and payment accuracy for vendor invoices.
- Follows and helps document standardized process flows for the MSP operation.
- Organizes and maintains accurate records of order status, fulfillment flow, and billing timelines.
- Provides ad-hoc reporting and assists with monthly revenue forecasting.
- Performs other job-related duties as assigned.
Requirements
- 2+ years in an operations, administrative, or revenue/billing support role, preferably in an MSP, IT services, logistics, or distribution environment.
- Proficiency with ERP systems.
- Strong Excel and quantitative/analytical abilities.
- Keen attention to detail and relentless follow-up.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks simultaneously while maintaining clear accountability.
- Creative problem solving and ability to devise alternative approaches to current workflows.
Skills
- NetSuite experience strongly preferred.
- Familiarity with MSP billing / PSA and revenue tracking platforms a plus.
