About the Role
Heritage Mechanical is seeking a Sr. Payroll Specialist to process the organization’s weekly payroll functions from beginning to end, ensuring pay is processed on time, accurately, and in compliance. This individual must have strong analytical thinking skills, attention to detail, a sense of urgency to meet deadlines, and the ability to retain confidential information.
Responsibilities
- Manually calculate payrolls and ensure accuracy in all computations in the event of a system interruption.
- Process in house, job costed payroll.
- Reconcile large volumes of data using database queries and Microsoft Excel.
- Process and issue employee paychecks (direct deposits) and statements of earnings and deductions.
- Setup and maintain employee payroll records (union and non-union) into the accounting system.
- Review time sheets, wage computations, and other information to detect and reconcile payroll discrepancies.
- Prepare weekly, quarterly, and annual payroll tax payments, reconciliations, and tax documents.
- Process Federal and State employee income withholding orders.
- Setup and maintain union pay rates and fringe benefits according to Collective Bargaining Agreements.
- Prepare and file weekly and monthly labor union reports for multiple jurisdictions.
- Review of I-9’s, E-Verify processing, and the preparation/filing of employee files as needed.
- Generate and distribute necessary reports internally and externally.
- Gather documentation for company audits on a timely basis.
- Assist with weekly certified payroll compliance reporting.
- Process new hire and terminated employees’ payroll.
- Employee verifications and scanning of employee personnel files pursuant to legal requests.
- Maintain utmost confidentiality of company information.
- Escalate critical and/or sensitive issues to VP of Finance/CFO with recommendation for resolution.
- Perform additional assignments as required by the company as directed.
Requirements
- Extensive in-house payroll processing experience is required.
- Proficient with Microsoft Office applications, including Excel formulas and formatting.
- Proficient with payroll and accounting software; Sage Timberline a plus.
- Familiarity with Windows based operating systems and web-based applications.
- Ability to create, file and manage electronic documents.
- Must possess excellent written and verbal communications skills.

Experience Level

- Certified Payroll Professional designation a plus
Education Level
- BA/BS in Accounting or Finance preferred
Salary/Compensations
- $90,000-$100,000/year
