About the Role

Office Assistants in the Communication department have extensive contact with the public, potentially delivering adverse decisions. They may also interact with other agencies for information exchange and work with clerical or program staff. This position is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS), with potential for conversion from temporary to permanent non-competitive status, and eventually to competitive status.

Responsibilities

  • Answer calls within the first ring and indicate unavailability when unable to answer.
  • Greet callers professionally and identify yourself by first name.
  • Interact with callers in a timely, courteous, and professional manner.
  • Search by multiple criteria to identify the correct person, department, or procedure.
  • Execute overhead paging only for medical emergencies.
  • Follow system procedures for all Codes and Emergencies.
  • Swap pagers and update status and schedules as requested.
  • Complete transactions while the caller is on the phone to ensure accuracy.
  • Follow all notes in the Directory, Procedures, and On-Call Schedules.
  • Read back caller information to prevent wrong connections.
  • Assist in training new personnel.
  • Maintain satisfactory attendance.
  • Perform other clerical duties as necessary.

Requirements

  • Must have taken and passed the specific job-related Civil Service exam.
  • Must be reachable on the appropriate Civil Service list.
  • This position may be designated 55 b/c and is subject to verification of applicant eligibility.
  • Resume/CV should be included with the online application.
  • Successfully complete pre-employment physical examination and obtain medical clearance.
  • Complete electronic reference check with a minimum of three professional references.
  • Successfully complete a 4-panel drug screen.
  • Meet Regulatory Requirements for pre-employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).
  • Failure to comply with pre-employment requirements could result in a delayed start date and/or revocation of the employment offer.
