About the Role
We are seeking a proactive, organized, and detail-oriented Workplace Administrator to align all our offices from a workplace operations perspective. This role involves health & safety management, overseeing our UK vehicle fleet, office maintenance, and supporting workplace projects. Reporting to the Head of Workplace Operations, you will own key tasks and collaborate on dynamic projects, gaining exposure to diverse activities.
Responsibilities
- Arrange branded workwear for employees.
- Work with the Head of Workplace to ensure offices/buildings are maintained.
- Support the Head of Workplace on strategic initiatives to improve workplace environments, such as office refurbishments, moves, and events.
- Act as a workplace ambassador and/or H&S representative for your office, depending on location.
- Manage and maintain the company’s health and safety platform, ensuring records are up to date, processes run smoothly, and relevant people have correct access.
- Support compliance efforts by coordinating audits, tracking documentation, and ensuring adherence to policies.
- Work closely with relevant teams to implement best practices and improvements in health and safety, liaising directly with H&S office representatives.
- Provide support to the Field Service team by organizing first aid training, purchasing PPE, and working closely with the Head of Field Services.
- Coordinate and engage the community of health & safety representatives, fire marshals, and first aiders across the business in all locations.
- Oversee the company’s fleet of vehicles across the UK, ensuring they are properly maintained, serviced, and compliant with regulations.
- Coordinate repairs, maintenance, and insurance claims for the vehicle fleet.
- Liaise with suppliers, leasing companies, and internal stakeholders to ensure efficient fleet operations.
- Undertake and positively contribute to team development, including planning and monitoring individual activities and performance against OKRs.
- Attend and fully participate in internal and external meetings and events as required.
- Proactively engage in personal development and training as required and agreed by the organization.
- Undertake all duties and act in accordance with the organization’s Policies and Procedures and Staff Handbook.
Requirements
- Track record of working in a diverse autonomous administrative role in a busy office environment for a minimum of 5 years.
- Experienced administrator, workplace coordinator, or office manager who can hit the ground running.
- Exceptionally organized with strong attention to detail and a natural instinct for keeping things structured and up to date.
- Comfortable managing shared inboxes, coordinating actions, and ensuring nothing falls through the cracks.
- Able to work independently, use good judgment, and require minimal day-to-day supervision.
- Proactive, solutions-focused, and willing to take ownership rather than waiting to be directed.
- Strong written communication skills and confidence dealing with stakeholders at all levels.
- Experienced in maintaining records, trackers, documentation, and administrative processes to a consistently high standard.
- Pragmatic thinker who takes initiative to find solutions to problems.
- Exceptional organization skills; can keep up to date with multiple tasks and requirements, and help hold others to commitments.
- Comfortable working with systems and processes, ensuring compliance and efficiency.
- Adaptable; enjoys taking on new challenges and a wide variety of projects.
