About the Role
Support Executives in the Office of the Chief Legal Officer (OCLO), International Employment Legal team. Manage the office for a busy Senior Employment Legal Counsel and support the wider International Employment Legal team. This role requires strong organizational skills, the ability to multi-task, and a personable nature. Responsibilities
- Provide general support to the Senior Employment Legal Counsel in their day-to-day work.
- Anticipate needs, problem-solve for challenges, and manage emerging issues proactively.
- Act as a first point of contact, dealing with correspondence and phone calls.
- Organize and maintain high-volume calendars, creating efficiency and balance in daily/weekly/monthly schedules.
- Handle internal and external requests for time, utilizing strong judgment in prioritization and flexibility to meet scheduling changes and shifting priorities.
- Manage diaries, including meeting and conference call bookings, and provide relevant reminders and on-day support to the team.
- Arrange travel and process all expenses.
- Liaise with internal and external stakeholders as appropriate.
- Prepare materials for and support the team with meetings and presentations.
- Draft, redline, and edit highly confidential legal documents and other personnel documents.
- Take notes at meetings if required, preparing summaries and team play books as and when needed.
- Provide other administrative support and general assistance for the Employment Legal team and wider OCLO team when needed.
- Organize and update online and hard copy files, ensuring all relevant documents are within reach.
- Support in maintaining a suite of templates and other resources for use by colleagues in HR.
- Provide in-office coordination for large meetings, lunches, and team meetings.
- Coordinate complex international travel, including all associated logistics and in-country meetings.
Requirements
- Strong organizational and time management skills, with excellent attention to detail.
- Previous PA or EA experience is required.
- Experience in a corporate/professional services environment, particularly working with Legal teams, would be advantageous but not essential.
- Professional manner with a positive “can do” attitude.
- Ability to prioritize and multitask with a busy workload.
- Proficient in Microsoft Office, including Word, PowerPoint, Excel & Teams.
- Strong note-taking skills.
- Ability to thrive in a fast-paced environment.
- Excellent verbal and written communication skills.
- Confidential and discrete approach, and strong work ethic.
