About the Role
We're looking for a highly organised, proactive, and trusted Executive Assistant to support our two founders and keep the business running smoothly. You'll be central to our operation, managing their time, priorities, and day-to-day operations, while also providing strategic business support and occasional personal assistance with discretion. You will also support the wider Senior Leadership Team.
Responsibilities
- Manage complex diaries for two founders, coordinating meetings, appointments, international travel, and logistics.
- Act as a gatekeeper, managing competing priorities and protecting the founders' time.
- Proactively manage and organise email inboxes, prioritising correspondence and flagging urgent actions.
- Prepare meeting agendas, documents, and supporting materials; draft responses and coordinate follow-ups.
- Process expenses and manage timesheet administration for the Senior Leadership Team.
- Liaise confidently with clients, partners, and internal teams on behalf of the founders.
- Anticipate upcoming needs and solve problems before they arise.
- Provide occasional personal assistance including appointments, bookings, and ad hoc requests.
- Support internal projects and operational initiatives, including company kick-offs and events.
Requirements
- Previous experience supporting senior executives, founders, or leadership teams in a fast-paced environment.
- Exceptional organisational skills and attention to detail.
- Proven ability to manage complex diaries and competing priorities.
- Confident using Google Workspace, Microsoft Office, and collaboration tools.
- Excellent written and verbal communication skills with professional presence.
- Trustworthy with excellent judgement and discretion; able to handle sensitive information with complete confidentiality.
- Calm under pressure, resourceful, and able to work independently.
- Experience managing international travel, particularly to the US (desirable).
- Familiarity with creative or media environments (desirable).
- Experience supporting multiple senior stakeholders simultaneously (desirable).
