About the Role

We are looking for an Office Administrator to ensure the smooth and efficient operation of our Toronto office, creating a welcoming, productive, and highly organized environment. This role involves proactively managing daily office needs, coordinating engaging team events, and supporting key touchpoints across the employee lifecycle.

Responsibilities

  • Proactively managing all aspects of the Toronto office environment, optimizing office supply inventory, and managing vendor relationships for cost-efficiency.
  • Leading the end-to-end coordination, budgeting, and execution of office events, socials, monthly celebrations, and team gatherings.
  • Managing administrative touchpoints for onboarding and offboarding, acting as the Day 1 host to greet new hires and ensure they feel welcome and comfortable.
  • Serving as a point of contact for office inquiries, travel bookings, international travel letters, and office access card activations.
  • Collaborating with WPP Office Support to maintain up-to-date employee records, maintain Excel trackers, and protect confidential information.
  • Managing office expense approvals, supporting leadership with expense submissions, opening purchase orders, and managing vendors.
  • Acting as a local point of escalation for IT-related issues, working with corporate IT support groups to ensure swift resolutions.
  • Executing employee recognition and life-event initiatives, including milestone awards, birthday celebrations, and personal gifts.
  • Maintaining common areas, snack inventory, supply areas, mail distribution, and coordinating ad-hoc administrative projects.

Requirements

  • 1–2 years of relevant professional experience in an administrative, office coordination, or workplace support role.
  • Strong proficiency in the Microsoft Office Suite (Outlook, Word, Excel), with experience in expense management systems considered a plus.
  • Excellent verbal and written communication skills in English, with a natural ability to connect with people at all organizational levels.
  • Proven ability to handle sensitive and confidential employee information with complete discretion.
  • A proactive, solution-oriented mindset with strong time-management skills and the ability to break down tasks effectively.
  • Previous experience working within a fast-paced agency or corporate environment.
  • Familiarity with end-to-end event coordination, budget tracking, and basic facilities management.
