About the Role
The Senior Facilities Coordinator will assist the Facilities Manager with the overall smooth running of the ILM Sydney studio and facilities. This role requires an enthusiastic individual with exceptional organisational skills and experience in maintaining facilities in a dynamic working environment, including WHS. The role demands a team player who strives to maximize team/department performance.
Responsibilities
- Manage a proactive maintenance program for the studio.
- Manage external contractors’ relationships and requirements, and proactively tender and review contracts.
- Manage day-to-day WHS requirements, including proactive preventative management of studio facilities and managing First Aid and Fire Wardens.
- Assist with planned upgrades or works to the studio.
- Assist with space utilisation, department moves, and seating plans.
- Manage all maintenance issues and requests from the studio, including ergonomic requirements.
- Assist with internal social events and screenings.
- Responsible for the aesthetics of the studio.
- Assist with studio travel requests.
- Provide cover for Facilities Coordinators on the front desk and with all Facilities Coordinator tasks when required.
- Perform all other duties as required.
Requirements
- Minimum 3 years in a similar role.
- Adept at building strong relationships across all levels of the organisation.
- Excellent communication skills.
- Proactive approach and solution-focused.
- Enthusiastic self-starter with exceptional organisational skills.
- Ability to manage time effectively and continually re-prioritise tasks.
- Detailed and methodical approach to troubleshooting and resolving issues.
- Team player who will strive to maximise team/department performance.
- Experienced user of Google Suite & MS Office – Word, Excel, Powerpoint, Outlook.
- Bachelor’s Degree or Diploma or related equivalent work experience.
