About the Role
As Assistant Facilities Manager, you will be responsible for managing all soft services, including events, office moves/adds/changes (MAC), minor projects, cleaning operations, finance and reporting support, and vendor management.
Responsibilities
- Manage all soft services including Event, MAC, Minor Project and cleaning operation
- Manage Work orders to meet KPI’s requirement
- Establish relationships with key users for smooth operation
- Consolidate information and generate reports, communications, and documents as required by client
- Assist in the implementation of Industry Best Practice operations
- Conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained
- Setup targets and challenges for the team to improve services
- Assist in financial processes to ensure timely and accurate completion of financial management requirements
- Support prompt and accurate management of Budget/Purchase orders/Invoices
- Mitigate risk by ensuring A/R is maintained below 60 days payable
- Identify opportunities to cross-sell services and reduce operational costs for customers
- Actively encourage an environment that supports teamwork, co-operation, performance excellence, and personal success
- Provide timely coaching to elevate performance
- Assist in the management of all contractors on site to ensure they perform to required standards, including inspection of vendors’ works
- Assist in the procurement of vendors and services as required
Requirements
- At least 3 years or more experience in Soft services or Event arrangement and team management
- Experience of Excel, Word and PowerPoint
- Business level of English and Japanese
- Customer service-oriented attitude
- Friendly, helpful and willing to go above and beyond to help meet customer’s needs
- Able to prioritize effectively
- Proactive and positive attitude
- Team player
- Excellent interpersonal and communication skills, including understanding for the use of confidentiality and diplomacy
- Excellent multi-tasking, project management and organizational skills
