About the Role
The Contingent Labour Office (CLO) partners with the business to enable an expedited and customer-centric approach to engaging external resources, balancing commercial needs with risk mitigation. This role involves utilizing internal contingent workforce expert practitioners and acting as trusted advisors to educate and advise the business on creative solutions.
Responsibilities
- Execute processes related to external resources during initial setup, contract period, renewal, or departure.
- Contribute to ongoing improvements in internal workflows, technology, and documentation for operational excellence.
- Apply technical expertise to advise, guide, and support Hiring Managers in engaging external resources.
- Leverage technology to optimize CLO user experience, processes, and resource utilization.
- Optimize processes and ensure documentation is updated for relevant stakeholders.
- Promote the CLO's internal brand through a customer-centric delivery approach.
- Facilitate intake conversations with Hiring Managers.
- Provide walkthroughs and training on submitting requests within the vendor management system.
- Gather, interpret, and assess information for the setup and case management of external resources.
- Conduct required due diligence on resources, including background checks and independence verification.
- Educate and advise stakeholders on the course of action.
- Maintain continuous contact with stakeholders regarding case progress.
- Document and maintain information in shared record-keeping tools for reference, reporting, and compliance audits.
- Identify flags that deem a case to be complex.
- Collaborate with team members to ensure business needs are met.
- Respond to inquiries to the CLO functional mailbox by providing education, instructions, clarifications, or triaging appropriately.
- Lead or contribute to internal process improvements by identifying issues, conducting impact analyses, and managing change activities.
- Maintain SOPs, forms & templates, and SNow knowledge articles.
- Ensure all policies and processes are documented and accessible.
- Educate and/or train the CLO, Procurement, Offshore team, and HR community on new processes.
- Stay aware of related contingent workforce matters, legislation, policies, and practices.
Requirements
- 3-5 years of experience in a case management role.
- Experience with agencies/staffing firms, contract labour, or contingent workforce is an asset.
- Superior written and verbal communication skills in English.
- Demonstrated ability to work with multiple stakeholders, including senior firm members, contractors, external service providers, and subject-matter experts.
- Attention to detail and accuracy is paramount.
- Proven ability to work in a fast-paced, highly demanding team environment.
- Ability to manage a high volume of work with varying degrees of complexity.
- Organized and able to manage competing priorities for multiple stakeholders.
- Consistently deliver timely, high-quality service and documentation.
- Keen eye for continuous improvement and efficiency.
- Strong aptitude for conducting impact analysis assessments.
- Demonstrated success on operational, process-driven initiatives.
- Proficient and comfortable working with multiple technologies.
- Ability to identify and implement opportunities to utilize technology as an enabler.
- Experience working within a vendor management system (e.g., Flextrack, Beeline) is an asset.
- Advanced knowledge of MS Office, especially MS Excel.
- Experience with ServiceNow is an asset.
- Written and oral fluency in English is required.
- Ability to support and collaborate with English-speaking colleagues or stakeholders.
