About the Role

Responsibilities
- Provide general overall FM services including continuous monitoring of facility.
- Work with property managers to handle routine property management operations.
- Procure property supplies and services.
- Issue purchase orders.
- Manage bid requests and service/construction contracts.
- Process accounts payable and accounts receivable.
- Assist Facility Management Team with tactical planning.
- Provide facility specific assistance to the project management team.
- Manage and maintain small facility management tasks.
- Coordinate special events in support of client or JLL.
- Provide support for meetings and conference room reservations.
- Assist with the coordination and scheduling of maintenance activities.
- Provide concierge services with team members.
- Support Reception and Mail Center operations.
- Coordinate and assist employees on events.
- Consolidate information and generate reports, communications, and documents as required by management.
- Conduct site inspections and assessments to ensure building procedures and performance measures are maintained.

- Set targets and challenges for the team to improve services.
- Assist in the management of all contractors on site to ensure they perform to required standards.
- Assist in the procurement of vendors and services.
Requirements
- Experience of Excel, Word and PowerPoint.
- Business level of English and Japanese.
- At least 2 years or more experience on Facilities Management or Hospitality services.
- Customer service-oriented attitude.
- Friendly, helpful and willing to go above and beyond to help meet customer’s needs.
- Able to prioritize effectively.
- Proactive and positive attitude.
- Team player.
- Excellent interpersonal and communication skills, including understanding for the use of confidentiality and diplomacy.
- Excellent multi-tasking, project management and organizational skills.
- Ability to work in a fast-paced environment and meet deadlines.

Benefits
- Fixed overtime allowance is included in the base annual salary (equivalent to 30 hours per month)
- Performance-based conversion to regular employee status after 1 year
