About the Role

As the MAC Geo Lead for North Asia and Occupancy Planning specialist for Japan, you will lead strategic workplace planning and execution across a dynamic region. This role combines geographic leadership with occupancy planning expertise, balancing strategic thinking with operational execution. You will be the primary contact for MAC activities in North Asia and drive occupancy optimization for Japan, collaborating with cross-functional teams to forecast space needs and ensure workplace strategies align with business objectives.

Responsibilities

  • Lead all phases of MAC transition, including program development, budgeting, planning, project milestone scheduling, project implementation, issue resolution, and project closure.
  • Manage end-to-end project coordination, including move management, delivery of agreed space plans, and support during construction to minimize disruption.
  • Coordinate First Day of Business (FDOB) for new sites and oversee minor works and FM minor moves.
  • Lead Japan and site-level occupancy and allocation planning by managing supply, capacity, demand, and vacancy to align with short-term and long-term headcount projections.
  • Understand available space at the site, PA, and team levels to evaluate ongoing and new space requests across the country or campus.
  • Analyze occupancy, utilization, and space data to develop actionable space solutions, block and stack plans, and site stacking plan options.
  • Partner with facilities management teams on space audits, vacancy management, change management, and move projects while keeping monthly portfolio reviews, commentary, and IWMS data up to date.
  • Liaison with vendors to obtain quotes, negotiate contracts, and ensure compliance; build effective relationships with key stakeholders across all levels.
  • Handle general MAC queries, compile specific and accurate MAC weekly statistics, and prepare monthly reports.
  • Facilitate the transfer of approved occupancy plans to the MAC team for implementation and coordinate communication plans tailored to specific business units.
  • Ensure compliance with health and safety regulations, building codes, and FM risk management programs.
  • Achieve Key Performance Indicators (KPIs) and Service Level Agreement (SLA) targets while adhering to business conduct guidelines and procedures.

Requirements

  • Minimum 8-10 years of experience in facilities, property management, or related field, including experience working in fast-paced environments.
  • Demonstrated experience working on major property projects, multi-site MAC operations, and organizational transitions.
  • Exceptional stakeholder management skills with the ability to influence and build consensus across all organizational levels.
  • Proven capacity to understand and interpret commercial contracts.

Skills

  • Advanced proficiency in IWMS tools, data visualization platforms, and forecasting models.
  • Knowledge of local health and occupational safety requirements and vendor management for specialized services.
  • Understanding of basic technical aspects of property (Server Room Air-conditioning, Chiller, Fire Protection, Mechanical & Electrical, and BMS systems).
  • Business-level fluency in English
  • Professional working proficiency in Japanese required for stakeholder engagement.
