About the Role
This part-time Office Administrator role (3 days a week) is the foundation for growing office operations. You'll be the first point of contact, ensure the office runs smoothly, and provide a welcoming environment for everyone. The role offers real ownership from day one with the opportunity to shape office operations as the company scales, with a clear path to a full-time position.
Responsibilities
- Greet and receive all visitors with warmth and professionalism.
- Anticipate visitor needs and ensure a prepared arrival experience.
- Manage visitor sign-in, badges, and logistics.
- Maintain an organized, stocked, and clean office environment (supplies, kitchen, common areas, workspaces).
- Own vendor relationships, coordinating with facilities, cleaning, catering, and delivery services.
- Identify and resolve maintenance issues promptly.
- Manage incoming and outgoing mail, packages, and office inventory.
- Serve as the go-to person for day-to-day employee requests.
- Support new hire onboarding logistics (desk setup, access, welcome kits).
- Assist in coordinating in-office events, team lunches, and all-hands meetings.
- Handle ad hoc tasks with a solutions-first approach.
- Document and improve recurring office workflows.
- Identify operational gaps and proactively propose solutions.
- Build and maintain tracking systems for supplies, vendors, and tasks.
Requirements
- Familiarity with office management tools and vendor coordination.
- Experience in a fast-paced startup or high-growth environment.
- Proactive communicator who flags issues before they escalate.
- Comfortable operating independently with minimal direction.
- An eye for detail and a high bar for presentation.
