About the Role
The Front Desk Associate role is an opportunity to engage with families, providing a welcoming, First-class Experience. This role requires a responsible, dynamic individual to carry out all front desk functions and manage administrative tasks for the medical team, aligning with the mission, vision, values, and culture of PM Pediatric Care.
Responsibilities
- Greets families professionally both in person and on the phone.
- Answers patient/family questions and seeks clarification when needed.
- Accesses empathy and active listening in difficult interpersonal situations.
- Supports patient care quality initiatives.
- Coordinates escalations and urgent issues for timely resolutions.
- Collaborates with site leadership to manage complex patient issues.
- Employs PM Pediatric Care’s Core values to help patients, families, and team members navigate systems.
- Monitors and manages patient flow, assisting families with self-registration.
- Stays current on workflows, responsibilities, and technology through distributed education.
- Registers all patients, maintaining accurate and complete patient accounts with demographics, insurance, and financial information while adhering to HIPAA.
- Manages and acts upon incoming patient documents, mail, and correspondence.
- Maintains confidentiality and privacy of all patient accounts, adhering to HIPAA guidelines.
- Performs opening and closing duties including organizing, stocking, sanitizing, and reconciling.
- Executes other duties as assigned.
Requirements
- Team player that can function independently in a fast-paced environment.
- Ability to work flexible work schedules based on office needs, potentially requiring travel to another site.
- Comfortability with routinely shifting demands.
- Ability to calculate simple figures for transactions.

- Intermediate skills with Microsoft Office Suite.

- Knowledge of medical insurance preferred.
- Prior Front Desk, concierge, customer service or other hospitality experience preferred.
