About the Role
The Office Representative assists in the coordination of care by providing scheduling, registration, and general clerical support to a medical practice or facility. Works under the general direction of the Practice Manager or other facility leader.
Responsibilities
- Greets visitors in person and on the phone promptly, using professional and courteous customer service skills.
- Refers emergent/sick calls to appropriate office staff for assessment.
- Takes complete messages or directs calls appropriately.
- Registers and pre-registers patients presenting for care.
- Explains procedures to patient or caregivers.
- Collects all pertinent data for each account to generate accurate billing.
- Verifies insurance ID cards and eligibility at each registration date.
- Maintains working knowledge of insurance carrier, Medicare and Medicaid requirements.
- Completes Medicare questionnaires and reviews for completeness.
- Collects patient payments and posts to correct account promptly.
- Follows copay collection procedures.
- Documents payment methods and issues receipts for payment.
- Verifies the cause of injury for no-fault and worker's compensation visits.
- Schedules patient appointments to coincide with provider/facility hours and scheduling guidelines.
- Completes patient appointment cards.
- Reschedules appointments as needed.
- Generates appointment schedules.
- Follows office policies and insurance guidelines when making or receiving referrals.
- Follows billing, E/M, charging guidelines, ICD-9 coding guidelines and CPT as required.
- Complies with HIPAA, infection control and all MVHS, Medical Group and office policies.
- Supports and adheres to the Patient Centered Medical Home and other initiatives.
- Actively participates in meetings and educational programs as assigned.
- Performs related duties as assigned.
Requirements
- High school diploma or equivalent.
- 2-3 years of experience working in a medical office.
- Knowledge of medical coding and medical terminology.
- Knowledge of MS Office and EMR.
- Accurate data entry skills.
- Outstanding interpersonal, customer service, written and verbal communication skills.
