About the Role

We are seeking a detail-oriented, innovative, and confident Personal Assistant to partner with key members of our International Markets leadership team. This highly visible, collaborative and pivotal role acts as a gatekeeper and extension of our leadership team, ensuring the success of a well-run, efficient organization. As the central point of contact, you will partner closely with other administrative assistants, team members and the Chief of Staff team. The ability to adapt to changing priorities, take on new and unfamiliar tasks, and work collaboratively with others is critical to the role. The ideal candidate will exercise sound judgement, maintain strong attention to detail, and act with a proactive mindset, while bringing the highest level of integrity, trust, and confidentiality to the role to reinforce Capital One’s corporate culture of excellence.

Responsibilities

  • Proactively manage complex, global executive calendars across multiple time zones, prioritizing scheduling requests and adjusting to frequent last-minute changes with ease.
  • Handle complex domestic and international travel arrangements and create timely expense reports using Capital One systems.
  • Arrange and reserve conference rooms, catering, audio/video, and other essential services for team events, all-hands meetings, and stakeholder forums.
  • Drive key team planning for activities and events.
  • Serve as a central point of contact, circulating information, and acting as a team ambassador to foster strong relationships.
  • Partner with the Communications team to assist with planning for internal and external speaking engagements.
  • Manage and own team distribution lists, organizational charts, and shared calendars.
  • Support onboarding of new team members.
  • Support the office manager as needed with managing desk allocation, mail distribution, printing, and ad-hoc projects.

Requirements

  • Extensive experience as an Executive Assistant or Administrative Assistant in a fast-paced environment.
  • Experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) or Google Workspace (G-Suite).
  • Experience utilizing AI tools such as Gemini, CoPilot, or Claude.
  • Proficiency in video conferencing technology (Zoom, Teams, etc.).
  • Exceptional written and verbal communications, organizational, and time management skills.
