About the Role

The Department of Radiation Oncology (DRO), Radiation Medicine Program (RMP) is seeking 2 Administrative Team Leads to ensure efficient and effective operations of the DRO Admin services, including referral services.

Responsibilities

  • Provides direct supervision, enhances staff engagement and capacity building of the DRO Referral & Administrative Teams.
  • Develops and/or maintains Standard of Work (SOW), policies and procedures for DRO Referral & Administrative process operations.
  • Supports or leads other DRO or RMP projects and functions, including HR processing.
  • Manages all aspects of day-to-day operations in collaboration with other Admin Team Lead and DRO Business Manager.
  • Contributes to staff development by mentoring, coaching, providing direction, and assisting in performance monitoring.
  • Assesses staff performance using a data-driven approach and implements improvement strategies.
  • Liaises with the multidisciplinary team to ensure efficient coordination of care/service provision.
  • Cross covers the other Admin Team Lead or DRO Manager, as needed.
  • Performs Referral or Administrative duties when required for uninterrupted patient care.

Requirements

  • Completion of Grade XII or recognized equivalent.
  • Completion of a recognized medical or business post-secondary office administration diploma program or recognized equivalent.
  • Minimum 3 years related office administration support experience.
  • Previous supervisory experience preferred.
  • Experience working in a health care environment an asset.
  • Knowledge of medical terminology an asset.
  • Experience and evidence of leading process optimization or quality improvement activities for a team.
  • Exceptional attendance and performance record.
  • Demonstrated leadership, motivational and team building skills.
  • Shown initiative to consistently go above and beyond to provide patient-centered care.
  • Experience with implementing change initiatives.
  • Ability to effectively handle confidential matters and materials.
  • Ability to use good judgment in assessing difficult situations.
  • Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines.
  • Effective interpersonal and communication skills.
  • Highly organized and efficient, ability to manage competing demands and work under pressure.
  • Knowledge of applicable legislative, UHN and/or departmental policies.
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience.
  • Experience in a Microsoft Office environment preferred.
  • Demonstrated ability to collaborate across multi-disciplinary teams.
  • Demonstrated proficiency in a detail-oriented position, reliable, adaptable, able to multi-task, and ability to troubleshoot issues.
  • Client service oriented, with the ability to effectively work with diversity.
  • Current UHN employees must have successfully completed their probationary period, have a good employee record along with satisfactory attendance.
