About the Role
Serve as the administrative lead for daily operations, ensuring systems, logistics, and back-office functions are professional and efficient. This role focuses on managing logistics, vendors, inventory, and scaling systems while prioritizing client experience.
Responsibilities
- Prepare the Weekly Ops Agenda and update the scorecard.
- Hold the team accountable for action items.
- Support CRM transitions and act as a liaison with IT development companies.
- Oversee the tech setup for new locations.
- Analyze marketing campaign data.
- Lead the end-to-end execution of events to elevate the Align brand.
- Act as a 'force multiplier' for the Director of Operations, supporting high-level projects.
- Draft executive communications.
- Handle critical tasks that support business scaling.
- Maintain comprehensive databases.
- Organize digital files.
- Write and ensure adherence to Standard Operating Procedures (SOPs).
- Ensure accurate data capture in operations.
- Provide efficient reporting for monthly and quarterly meetings.
- Improve systems to optimize data collection.
- Own the flow of goods and manage vendor relationships.
- Continuously improve paperless processes to support scaling.
- Ensure physical and operational alignment of locations, including cleanliness and stocking.
Requirements
- 1-5 years of experience in an Operations Coordinator, Lead or Senior EA role, or running a small business.
- Resourceful and self-governing, able to identify and propose solutions for bottlenecks.
- Detail-oriented with a focus on continuous improvement and the big picture.
- Leads through service with no ego, comfortable with both spreadsheets and physical shipments.
- Possesses communication finesse to integrate with all departments and gain team buy-in.
- Energized by a fast-paced environment valuing innovation and efficiency.
- Tech-fluent in CRMs, Slack, VOIP, AI, G-Suite, and Excel Sheets; capable of learning new software.
- Must submit 2, 60-second video responses as part of the application process.
