About the Role
The Housing Program Coordinator provides essential administrative, operational, and communication support to ensure the smooth day-to-day functioning of assigned housing programs. This role acts as a central point of coordination, facilitating communication between program staff and leadership, managing administrative systems, and supporting program logistics to allow leadership to focus on supervision, resident outcomes, and program quality.
Responsibilities
- Maintain and organize client charts, log books, incident report binders, and group notes.
- Track and manage OMNY cards, petty cash, and check requests.
- Support data entry and reporting needs.
- Assist the Director of Housing Programs with calendar management and scheduling.
- Manage inventory tracking for food, supplies, and program materials.
- Submit and follow up on IT and facilities work orders.
- Ensure program sites remain stocked and organized.
- Support the scheduling of groups and activities.
- Assist with intake preparation and orientation logistics.
- Help coordinate training and meetings.
- Collaborate with Youth Counselors on the creation of groups and activities.
- Provide shift coverage as needed.
- Support staff during high-need periods or gaps while maintaining primary administrative responsibilities.
- Serve as a communication liaison between program staff and housing leadership.
- Identify communication gaps and ensure important information is shared with appropriate team members.
- Follow up on action items from treatment team meetings, staff meetings, and care conferences.
- Promote collaboration across departments by ensuring efficient communication of operational information.
- Act as an accessible operational resource for program staff.
- Support staff in obtaining necessary tools, supplies, and information.
- Assist with onboarding and orientation of new staff by reinforcing operational workflows and program expectations.
- Assist with group facilitation as needed.
- Attend Care Coordination meetings to distribute resident information to appropriate housing teams.
Requirements
- High School Diploma or equivalent required.
- Minimum of one (1) year of experience providing administrative, operational, programmatic, or coordination support in a residential housing, non-profit, or social services environment.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and administrative systems simultaneously.
- Strong written and verbal communication skills with the ability to communicate information clearly and professionally across multiple levels of an organization.
