About the Role
The Operations Coordinator will report to the National Operations Manager, supporting Service Team Leaders and RBMs to ensure rota management, compliance, and consistency across the Service function. This is an office-based role in the UK, operating on a 3223-shift pattern to provide remote cover for the Service business, with occasional travel.
Responsibilities
- Ensure effective scheduling of team regional Rotas, communicating them at least six weeks in advance.
- Proactively manage cover for absence to maintain Service continuity.
- Submit variances to payroll via the payroll variance app for each region.
- Build and maintain strong relationships with Service team managers and specialists.
- Attend service team meetings.
- Work with National Operations Manager, RBMs and Service team managers to build and maintain National Associate Network.
- Liaise with Finance regarding commissions, invoicing for consumables, initial set-ups, contract generation, and billing for cover days.
- Record and manage sickness and holiday cover to ensure routes are covered and Service is not affected.
- Raise any issues or non-compliance with the National Operations Manager.
- Work with Service team managers to understand regional areas and maintain a list of contacts for sickness cover.
- Collaborate with the Health & Safety team and Team Leaders to report and investigate incidents.
- Use data to analyze and proactively track trends and provide solutions for H&S to ensure UK compliance and company goals.
- Provide data and reports for H&S and flask fertility and performance to monitor KPIs, breaches and recommend remedial action.
- Capture monthly reports on driving & working hour compliance, Lightfoot scores, drivers not connected to Lightfoot, lone worker device usage, clocking in/out, cover day usage, and conception rates.
- Share RMS reports to customers.
- Build and create reporting for customers, working closely with team leaders and RBMs.
- Circulate reports to relevant employees post visit.
- Act as a visible advocate for positive change and foster a culture of accountability and improvement.
- Work with Service team managers and HRBP to submit and track RAFs.
- Geo-fence new areas and maintain existing areas as required.
Requirements
- Travel within the UK may be required on occasion.
- Full UK driving license preferred.
- Previous experience dealing with shift patterns and rotas.
- Experience of building and maintaining relationships across different areas of business.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to build rapport quickly.
- Effective time management and ability to manage a busy schedule.
- Ability to work independently and use own initiative.
- Proficient in Microsoft Office.

Salary/Compensations
