About the Role
The Office Coordinator is responsible for providing friendly, welcoming, and efficient service to all clients, visitors, affiliates, and Premium Mortgage staff. This role is fully onsite and serves as a primary point of contact, ensuring a positive office experience.
Responsibilities
- Answer phones promptly in a professional manner and routing calls as necessary
- Serve as a primary point of contact for visitors, clients, and business partners, delivering exceptional customer service and a positive office experience
- Maintain the schedule for the conference rooms in the building
- Support daily office operations by coordinating mail distribution, shipping, records management, and administrative workflows
- Make copies of documents that clients bring in for a Loan Officer or Processor and ensure that all information is stored safely and NPI (Non-Public Information) is kept private
- Assists with the preparation and distribution of new borrower application packets, ensuring accuracy, completeness, and timely delivery to Loan Officers
- Manage office supply procurement and inventory for Premium Mortgage offices and affiliated locations, maintaining adequate stock levels
- Maintain a professional, organized, and welcoming office environment by overseeing reception, lobby, and workspace presentation and functionality
- Utilize mortgage-related systems to maintain accurate documentation, track activities, and support operational efficiency
- Collaborate with cross-functional teams to ensure smooth communication, document flow, and timely completion of business processes
Requirements
- A high school diploma or GED is required
- 1-3 years of administrative, office coordination, receptionist, customer service, or clerical experience
- Experience managing multiple priorities in a fast-paced office environment
- Experience scheduling meetings, maintaining calendars, and assisting with coordinating office events as needed
