About the Role

The Legal Practice Specialist performs administrative support tasks for attorneys within the Litigation Practice Group, requiring solutions orientation and excellent analytical, organizational, and communication skills.

Responsibilities

  • Perform administrative support tasks for assigned attorneys within the Litigation Practice Group.
  • Utilize knowledge of court rules and civil procedures in California State and Federal jurisdictions, including electronic filing in File & ServeXpress and PACER/CM/ECF.
  • Support all aspects of trial preparation, including logistics and on-site trial support.
  • Conduct internet research using Lexis and Westlaw, and obtain court dockets from PACER, Court/Agency websites, or other research tools.
  • Assemble binders for court/agency filings, services, and client files.
  • Manage the intake process, from conflicts check to client/matter number creation.
  • Prepare subpoenas, court scheduling stipulations, motions, and brief templates.
  • Edit, proofread, and redline documents and correspondence for accuracy, grammar, and formatting.
  • Review and edit prebills, ensure timely client billings, prepare expense reports, and submit vendor invoices for payment.
  • Organize and maintain attorney contacts and calendars, including travel logistics.
  • Input, review, edit, and update attorney time entries.
  • Coordinate meeting logistics, including scheduling, videoconferences, conference calls, and preparing presentation materials.
  • Answer incoming telephone calls and relay messages.
  • Organize and maintain paper and electronic files according to Firm records retention policies.
  • Proactively remind attorneys of impending deadlines and obligations.

Requirements

  • Knowledge of court rules and civil procedures in California State and Federal jurisdictions.
  • Experience with electronic filing in File & ServeXpress and PACER/CM/ECF.
  • Experience with trial preparation, including managing databases and filing in various jurisdictions.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word).
  • Ability to maintain and handle confidential and sensitive information with discretion and diplomacy.
  • Ability to work effectively in a fast-paced environment.
  • Willingness to travel as required to attend trials.
  • Compliance with the San Francisco Fair Chance Ordinance.
