About the Role
CPA Ontario is seeking an Examination Specialist to provide administrative and operational support for the planning, preparation, delivery, and reconciliation of CPA Ontario examinations. This role involves supporting examination scheduling, system setup, student communications, documentation, secure examination materials, attendance reporting, and user acceptance testing for examination-related systems. The position collaborates with internal teams, examination staff, contractors, provincial bodies, and national examination providers to ensure accurate, secure, and efficient examination delivery across Ontario.
Responsibilities
- Coordinate examination scheduling, system setup, and student registrations.
- Monitor examination data, enrolments, and writer volumes, resolving issues and coordinating with external partners.
- Manage examination materials and records to support secure, accurate, and efficient examination delivery.
- Support examination-day operations, attendance tracking, and post-examination reconciliation.
- Maintain examination documentation and distribute accurate, up-to-date information to stakeholders.
- Provide timely communications and respond to inquiries.
- Provide administrative and operational support for examination planning, delivery, and follow-up activities.
- Support software testing, process improvements, issue resolution, and the maintenance of operational resources and procedures.
Requirements
- Post-secondary degree or diploma in a related field, or an equivalent combination of education and experience.
- 3 to 5 years of demonstrated experience in operations, event logistics, vendor and contract coordination, or administrative support in a high-volume, deadline-driven environment.
- Proficiency with Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, SharePoint).
- Knowledge of Power Apps or similar workflow and data collection tools is an asset.
- Strong aptitude for and willingness to learn new technologies and examination-related systems.
- Excellent interpersonal and communication skills.
- Ability to respond to inquiries clearly and professionally.
- Ability to manage challenging situations with sound judgment, tact, and diplomacy.
- Strong organizational, time management, and coordination skills.
- Proven ability to work well under pressure, prioritize, multitask, and meet deadlines.
- Ability to perform physical duties including lifting and moving boxes (10-50 lbs) containing examination materials.
- Availability to work outside of regular business hours (mornings, evenings, weekends).
