About the Role

The Executive Assistant will provide high-level administrative support to the Head of Operations and Experience and their senior leadership team. This role demands exceptional emotional intelligence, interpersonal skills, technical proficiency, a strong work ethic, and the ability to anticipate and manage executive needs with discretion and confidentiality. The successful candidate will play a key role in the organization's success by collaborating closely with senior leadership.

Responsibilities

  • Provide proactive executive administrative support, ensuring excellent service and professionalism.
  • Demonstrate problem-solving abilities and propose solutions.
  • Exercise excellent judgment, integrity, confidentiality, discretion, and diplomacy.
  • Coordinate all travel arrangements and process expense reimbursements.
  • Manage calendars, schedule meetings, arrange logistics, and resolve conflicts.
  • Interact with internal and external executives and assistants, responding with urgency.
  • Prioritize and manage workflow to meet deadlines and adapt to changing priorities.
  • Address or resolve issues within your accountability and keep leadership informed.
  • Collaborate with sourcing teams to initiate purchase orders and manage vendor payments.
  • Prepare correspondence, reports, presentations, and other materials.
  • Assist with special projects and additional assignments as needed.

Requirements

  • Bachelor’s degree in business administration, a related field, or equivalent experience.
  • 5+ years of experience as an Executive Assistant supporting C-suite level senior executives.
  • Organizationally savvy with the ability to navigate sensitive situations effectively.
  • Strong knowledge of audio-visual setup (e.g., video conferencing) and collaboration with AV teams.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage competing priorities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in project management and event coordination.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work independently and as part of a team.
  • Flexibility to work outside regular business hours when needed.
  • Flexibility to travel up to 10% of the time for offsite meetings and key events.
