About the Role
The Administrative Assistant 3 will provide high-level administrative, operational, and fiscal support to the Associate Dean of Students and associated offices, including Student Life, Career Services, Student Conduct, and University Housing. This role involves coordinating office operations, communications, meetings, travel, purchasing, financial processes, events, and special projects, while acting as a liaison and supporting division priorities.
Responsibilities
- Serve as the Business Liaison for areas supported by the Associate Dean of Students.
- Support budget monitoring, including tracking expenses, processing purchase orders and contracts, reconciling purchases, and serving as a point of contact for vendors.
- Prepare and monitor all accounting paperwork for Associate Dean of Student accounts.
- Communicate with the NS Business Office and UNLV Business Center South to resolve accounts payable, travel, and purchasing issues.
- Reconcile accounts monthly and provide updates or reports to the Associate Dean of Students.
- Assist with departmental and event purchasing requests.
- Act as a procurement card holder, verifying and reconciling Purchase Card transactions.
- Maintain Associate Dean of Students calendars and coordinate meetings.
- Provide event support, including space reservation, set-up/breakdown, and participant check-in.
- Create, update, and maintain office materials such as forms, handouts, website pages, and social media accounts.
- Coordinate and schedule meetings, and support communication and outreach with other departments, community partners, and employer partners.
- Prepare background information and conduct research to support the Associate Dean of Students for meetings.
- Compose administrative reports and/or financial records.
- Support departments in posting open positions and assist with onboarding processes.
- Serve as a primary point of contact for the Student Affairs vehicle process.
- Serve as backup support for the student engagement platform utilized by Student Life.
- Collect data on departmental utilization and student engagement/development metrics, and support data analysis.
Requirements
- Graduation from high school or equivalent education and three years of progressively responsible relevant work experience, including experience in maintenance of complex records and files, public/customer relations, preparation and processing of financial and statistical documents, and assisting staff with projects.
- Alternatively, one year of experience as an Administrative Assistant 2 in Nevada State service, or an equivalent combination of education and experience.
- Eligibility to work in the United States without sponsorship.
