About the Role

The Floor Support Assistant will perform all floor support operations requested by a customer without direct supervision. This includes filing, archive/deeds management, processing and delivery of all incoming and outgoing mail/messenger and courier items, copying, scanning, printing, and completing general administrative duties. The role holder is accountable for establishing and maintaining an ongoing service-based relationship with the client and customers, recognizing and translating customer needs into responsive service.

Responsibilities

  • Delivering an exceptional electronic and hard copy file management service
  • Returning or adding documents to existing client files
  • Working with the practice management system to log and record documents
  • Handling and administering closed files as requested
  • Filing and file housekeeping
  • Understanding and processing of principle documents
  • Maintaining all filing and work areas in a tidy and orderly manner
  • Collecting file and documents from client areas and returning files to shelves
  • Sorting, scanning, renaming, and distributing incoming mail to the dedicated centralized filing area
  • Maintaining equipment in good working order, troubleshooting problems, and placing service calls
  • Following all stock and consumable procedures and replenishing copiers
  • Prioritizing jobs and running them to meet customer requirements and deadlines
  • Providing photocopying, scanning, and printing as per customer instructions
  • Collecting and accurately inputting monthly forecast information
  • Collecting and completing information required for billing or client chargeback data
  • Utilizing appropriate paperwork
  • Ensuring job requests are tracked on the system properly before beginning new requests
  • Understanding and complying with Floor Support corporate standards
  • Constantly seeking ways to improve operations and suggesting and implementing approved ideas
  • Binding final form documents
  • Performing extensive computer and data-related tasks
  • Using internal and external portals/systems
  • Adding contacts to the clients database
  • Dealing with customer inquiries in a prompt and efficient manner
  • Accepting requests for Williams Lea work, notifying customers of estimated completion time
  • Communicating with customers on job or deadline issues
  • Ensuring seamless hand-overs between other team operators
  • Liaising with the Client and all departments in a professional and helpful manner
  • Following all operational procedures as determined and authorized
  • Demonstrating the ability to work within a team environment
  • Undertaking any required training and learning technology developments
