About the Role
The Event Services Manager serves as the primary liaison between the hotel and clients following the sale of meetings, Events, weddings, and social events. This position is responsible for planning, coordinating, and executing all event details while ensuring exceptional guest satisfaction and seamless communication across hotel departments.
Responsibilities
- Serve as the primary point of contact for clients after contracts have been executed.
- Build strong relationships with meeting planners, corporate clients, and event organizers.
- Conduct pre-convention and planning meetings to review event requirements.
- Respond promptly to client inquiries and maintain consistent communication throughout the planning process.
- Conduct hotel site visits with clients when needed.
- Develop detailed Banquet Event Orders (BEOs), event resumes & Floor Plans.
- Coordinate meeting room setups, audiovisual requirements, catering, guest room blocks, transportation, load in and special requests.
- Ensure all event specifications are communicated accurately to operational departments.
- Conduct weekly BEO and operations meetings with department leaders.
- Monitor event timelines to ensure flawless execution.
- Assist with internal events (award ceremonies, employee events, internal meetings, marketing activations, promotional events etc.) as needed.
- Ensure that the Banquet Manager has all necessary information in advance of the event.
- Act as the on-site manager, as needed, during assigned events, either in support of or in lieu of the Banquet Manager.
- Anticipate client needs and proactively resolve issues.
- Coordinate last-minute changes while minimizing operational disruption.
- Ensure banquet and meeting spaces meet brand standards and client expectations.
- Conduct post-event follow-up with clients to measure satisfaction and identify future business opportunities.
- Partner with Food & Beverage, Culinary, Banquets, Front Office, Engineering, Housekeeping, and Security to execute successful events.
- Ensure departments receive timely and accurate event information.
- Maintain effective communication regarding room changes, VIP arrivals, and special accommodations.
- Step in to fulfill events related duties of the Banquet Manager including scheduling team members etc. in the event of an extended absence of that position.
- Review event contracts and ensure all billing instructions are accurate.
- Monitor food, beverage, and rental minimums.
- Identify opportunities to upsell catering, audiovisual services, and hotel amenities.
- Verify final billing and assist Accounting with event reconciliation when needed.
- Maintain accurate event documentation within Triple Seat.
- Lead weekly BEO meetings.
- Assist with maintenance of pars for all inventory items.
- Assist with inventory as needed.
- Maintain consistent communication with Director of Events to ensure they are fully aware of event details.
