About the Role
The Medical Receptionist is responsible for direct patient contact, including greeting, scheduling, registration, and insurance verification. This role involves communicating data to providers and staff, sending referrals, and patient follow-ups. The position requires age-appropriate care, maintaining a safe environment, quality improvement, and assisting in training new personnel. The Medical Receptionist actively contributes to department operations and upholds the mission and objectives of Covenant House.
Responsibilities
- Provide and assure the carrying out of established medical receptionist procedures utilizing department protocols.
- Assure the maintenance of a safe and clean environment.
- Provide holistic, age-appropriate communication, assessing patient and situation needs.
- Recognize and de-escalate disruptive behavior.
- Maintain a calm environment in the waiting room.
- Provide thorough, concise, and timely documentation, shift reports, and verbal communications.
- Communicate pertinent patient and unit information to medical providers, clinic staff, and other appropriate persons while maintaining client confidentiality.
- Assist in the coordination of services with medical staff, nursing staff, other departments, and other providers.
- Respond rapidly and effectively during emergency situations.
- Maintain clinical skills and stay current in the latest computer programs and processes.
- Complete internal and external referrals and scan documents into medical records.
- Complete annual competencies.
- Assist in the orientation of new personnel, volunteers, and students.
- Serve on committees and attend meetings, actively participating.
- Follow and assist in the implementation of policies and procedures.
- Participate in community events to promote the mission of the health center.
- Assist in the collection of patient satisfaction surveys and collate data for monthly reports.
- Assist in maintaining equipment.
- Prepare monthly patient appointment data reports.
- Receive medication delivery and assure distribution to resident floors daily.
- Send appointment reminder lists to staff on resident floors daily.
- Monitor provider schedules and troubleshoot as needed.
- Make decisions independently, keeping all clinic staff informed and supporting Covenant House philosophy.
- Prioritize and manage time efficiently.
- Communicate with others (verbally and in writing) in an appropriate and timely manner, demonstrating tact, sensitivity, and the ability to deal with people beyond giving and receiving instructions.
- Maintain strictest confidentiality and adhere to all HIPPA guidelines/regulations.
- Understand and abide by CHNY Mission Statement, Five Principles, policies and procedures, and comply with federal, state, and local laws and accreditation standards.
- Perform other duties as assigned and needed.
Requirements
- High school diploma or GED.
- Basic computer skills and knowledge of programs.
- Experience with EHR, ECW, ePaces, ETO preferred.
- One year experience in a Medical/Surgical clinic environment preferred.
