About the Role
This role provides administrative and business support to achieve organizational goals, focusing on clinical administration duties such as long-term strategic planning, prioritizing investments, allocating resources, and developing the practice's vision. It involves supporting daily business activities in a hands-on environment, with the majority of time spent delivering support services under moderate supervision. This experienced-level role requires basic knowledge of job procedures and tools, potentially vocational or technical education, and the ability to interpret or deviate from standard procedures.
Responsibilities
- Collaborates with leadership to improve service outcomes impacting patient comfort by overseeing improvement opportunities aligned with hospital mission and vision.
- Oversees day-to-day functions including budget compliance, payroll, staffing, scheduling, front desk operations, revenue capture, and prior authorization.
- Serves as the primary contact for clerical needs, including timesheets, office supply requests, mail management, billing, and developing program materials.
- Works with clinical and administrative teams to develop and refine comprehensive workflow processes for improved efficiency.
- Coordinates program staffing based on volume and needs to ensure uninterrupted patient care and efficient workflows.
- Collects, analyzes, and makes decisions based on data and evidence-based statistics.
- Facilitates inter- and intra-departmental and external communication, responding to and disseminating updates to community services, staff, and other departments.
- Conducts meetings for providers and staff to discuss new policies, procedures, and updates to enhance care delivery and satisfaction.
- Assists with and assures departmental compliance with ACR/JCAHO/ACOS regulatory standards.
- Participates in Quality Improvement activities for strategic planning, accreditation preparation, quality assurance, and performance improvement.
- Participates in the interview process and assists with orientation plans for new employees.
- Communicates progress to the management team regularly to achieve goals.
Requirements
- Two (2) years’ administrative experience.
- High school diploma or equivalent.
- Five (5) years’ administrative experience in a healthcare setting.
- Bilingual.
- Frequent sitting, occasional standing or working, and lifting of 10-15 lbs.
- May be exposed to dust and other typical office-like discomforts.
- Manual dexterity using fine hand manipulations for computer keyboard operation.
- Ability to see computer screen and read reports.
- Ability to hear instructions from physicians and other clinical or nursing staff.
Skills
- Computer literacy including familiarity with word processing programs and electronic spreadsheets, and ability to learn new applications.
- Excellent customer service skills including excellent interpersonal and telephone skills.
- High degree of tact necessary due to frequent interaction with patients, physicians, and insurance companies.
- Strong business skills, including understanding of health care expense, revenue, and reimbursement models and their impact on business plans.
- Ability to develop recommendations based on analysis and lead teams to drive decisions.
- Excellent organizational skills with attention to detail.
- Proven administrative skills and experience.
- Ability to prioritize work and be flexible with work assignments.
