About the Role
The Princess Margaret Cancer Centre is seeking a highly organized and detail-oriented Administrative Assistant II to support the Dental Oncology program, providing essential day-to-day administrative support to ensure smooth operations.
Responsibilities
- Coordinate administrative operations for clinical, research, or departmental programs.
- Support payroll submissions, onboarding activities, and personnel documentation.
- Maintain confidential records, files, and databases.
- Schedule meetings, prepare agendas, take minutes, and coordinate follow-up actions.
- Obtain approvals and signatures for organizational documents and processes.
- Organize events, workshops, and program activities.
- Liaise with internal departments and external stakeholders to facilitate day-to-day operations.
- Provide general administrative support to managers, physicians, and research teams.
Requirements
- Completion of a recognized business, office administration diploma program is preferred.
- Two to three (2–3) years of related administrative or secretarial support experience, preferably in a healthcare environment.
- Medical terminology training and/or experience with project and event coordination are considered assets.
- Proficiency with Microsoft Office applications and experience using word processing, spreadsheet, database, and other office software.
- Excellent organizational, prioritization, time management, and multitasking skills, with the ability to manage multiple concurrent tasks.
- Strong interpersonal, customer service, verbal, and written communication skills.
- Demonstrated teamwork, problem-solving, conflict resolution, and sound judgment skills.
- Ability to work independently, learn quickly, and perform effectively under pressure in a fast-paced environment.
- Ability to maintain confidentiality and exercise discretion while handling sensitive information.
- Knowledge of applicable legislative, UHN, and departmental policies, with a demonstrated commitment to producing high-quality work is an asset.
- Maintaining satisfactory attendance.
- Current UHN employees must have successfully completed their probationary period, have a good employee record along with satisfactory attendance in accordance with UHN's attendance management program, to be eligible for consideration.
