About the Role
The Center for Reproductive Rights is seeking a Coordinator, Communications Operations to support the communications team by managing budget administration, processing invoices, tracking expenses, and maintaining financial records. This role will also assist with procurement, contracting, and operational processes, acting as a point of contact for inquiries and collaborating with other departments to improve systems. The position offers high-level administrative support to the CCMO, including calendar management and presentation preparation.
Responsibilities
- Support department budget processes by processing invoices, tracking expenses, Brex Reports, reclasses, reconciliation, and maintaining organized financial records on SharePoint and Microsoft Teams.
- Support the procurement and contracting process for external vendors, licensing, and consultants from drafting through execution.
- Optimize information flow across teams for shared projects, ensuring proper file organization, maintaining SharePoint, and using project management tracking tools.
- Catalog and upload digital media into a digital asset management system (e.g., Monday.com, Microsoft Teams, Canto).
- Provide high-level administrative support to the CCMO and Communications team leads, including calendar management, travel arrangements, and meeting preparation.
- Act as a point of contact for administrative and technical inquiries related to files, trainings, and scheduling.
- Direct team members to appropriate resources such as SharePoint, Bitwarden, and Monday.com.
- Plan and execute projects by tracking timelines, coordinating with stakeholders, managing logistics, and ensuring deliverable completion.
- Collaborate with key departments (Finance, Accounting, IT, Programs) to enhance cross-departmental systems and processes.
- Attend meetings, document key discussions and action items, and distribute meeting notes.
- Perform other duties as needed.
Requirements

- Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
- Familiarity with Concur, SharePoint, Microsoft Teams, Monday.com is preferred.
