About the Role

The Office of Child Support Services (OCSS) is seeking a Clerical Associate III to function as a Scheduling Unit Supervisor. This role involves supervising clerical support staff, managing work assignments, and ensuring coverage for all clerical activities within the Borough Offices. The position plays a key part in ensuring children receive financial support by overseeing the administrative functions of the child support system.

Responsibilities

  • Supervise and schedule work assignments for all clerical support staff, ensuring coverage for all clerical activities.
  • Utilize various systems applications (e.g., FRED, NYCWAY, ASSETS, WMS, ECFS, CS TRACK) to review and update client information.
  • Conduct scanning and indexing of client documents.
  • Respond to telephone inquiries regarding appointments, sanctions, and other client matters, referring callers to appropriate departments when necessary.
  • Receive and process hard copy and electronic mail and faxes.
  • Compile daily/weekly statistical reports by summarizing data and preparing/updating rosters to track assigned and completed cases.
  • Provide staff training and feedback on policies and procedures.
  • Monitor staff time and leave, and evaluate subordinate performance.
  • Assist with maintaining adequate office inventory of supplies and client forms.
  • Provide coverage for all clerical tasks as needed.
  • Perform other routine clerical functions as assigned.

Requirements

  • Must be permanent in the Clerical Associate title.
  • A four-year high school diploma or its educational equivalent.
  • One year of satisfactory clerical experience.

Skills

  • Keyboard familiarity
  • Ability to type at a minimum of 100 key strokes (20 words) per minute.
