About the Role
As a Welcome Host / Receptionist, you will be the first point of contact for employees, visitors, and partners, creating a warm, professional, and seamless workplace experience. Based primarily in Tokyo with support for the Osaka office, you will manage front-of-house operations while assisting the Facilities team in maintaining a well-functioning, engaging, and safe office environment.
Responsibilities
- Greet and attend to employees, visitors, and partners in a professional and courteous manner
- Manage visitor registration, security procedures, and badge issuance
- Handle incoming calls, emails, and general front desk inquiries
- Support a positive office atmosphere by engaging with employees and responding to feedback
- Conduct daily checks to ensure office cleanliness, safety, and readiness
- Assist internal stakeholders with document-related administrative tasks
- Manage incoming and outgoing mail, courier services, and document handling
- Maintain pantry supplies, office inventory, and general workplace readiness
- Ensure meeting rooms and shared spaces are tidy and ready for use
- Support the Facilities Manager in handling employee requests via internal systems or ticketing tools
- Assist with logging, tracking, and following up on maintenance and service requests
- Coordinate with vendors for routine services
- Liaise with building management for access, maintenance schedules, and general operational matters
- Provide administrative support for office activities and internal events
- Assist with onboarding logistics such as office tours for new employees
- Support employee engagement activities, including Inclusion Business Group (IBG) initiatives, when required
- Share office updates and notices via internal communication channels
- Work closely with the Facilities team and internal stakeholders to ensure smooth daily operations
Requirements
- 2–4 years of experience in reception, office administration, or similar operational roles
- Fluency in Japanese (business level) and basic English communication skills
- Good communication skills and a professional, customer-focused approach
- Strong organizational skills and attention to detail
- Ability to manage routine tasks and prioritize effectively
- Basic proficiency in Microsoft 365 (Outlook, Teams, Word, Excel)
- Comfortable using internal systems or ticketing tools (training will be provided)
- May require occasional support outside standard working hours for events or operational needs
