About the Role
Mastercard is seeking a high-energy, creative, and tech-savvy Executive Assistant to support several SVPs in their Angel Lane and Berlin Offices. This role involves performing general administrative duties, managing complex travel, and supporting team projects within the Global Customer Delivery and Care (GCD&C) team.
Responsibilities
- Responsible for all administrative and operational activities, including scheduling complex meetings and conference calls across time zones.
- Manage global travel arrangements, confirming visa and other travel requirements.
- Provide project management support.
- Handle expense reporting and departmental record keeping.
- Manage office supplies.
- Develop and prepare correspondence, reports, presentations, and other key communication materials.
- Research special topics as needed.
- Manage internal and external inquiries by screening calls, answering questions, and redirecting to appropriate personnel.
- Provide ad-hoc support for Direct Reports, including tracking team workflow and building/managing reporting systems.
- Coordinate logistics for complex meetings and activities, including business events.
- Handle ad hoc projects as assigned.
- Organize team events and conferences, coordinate agendas, collect and collate required documentation.
- Provide IT support as and when required.
- Source, book, and monitor offsite venues.
- Use discretion and care when working with sensitive/confidential data.
- Work as a team with other Executive Assistants to ensure alignment and operational coverage.
- Serve as an administrative liaison with others inside and outside of the company.
- Organize and oversee special projects, ensuring timely completion and attention to detail.
- Maintain department records and documents, ensuring accurate and up-to-date information.
- Implement organizational systems and process improvements to enhance overall efficiency.
- Provide basic IT support to the Manager and team in London.
- Maintain an active relationship with the Facilities team for office equipment and upkeep issues.
Requirements
- Executive administrative experience in a global corporate environment interfacing with senior and executive level management.
- Impeccable attention to detail, with the ability to catch and resolve errors proactively and anticipate needs.
- Must be able to self-direct and work effectively with others at all levels of an organization.
- Demonstrated ability to work independently, making informed decisions and prioritizing tasks effectively.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Proficient in using office software and tools to streamline workflow.
- Proficient knowledge of the MS Office Suite, including Excel spreadsheets and functions, Word and PowerPoint skills.
- Proficient in Outlook.
