About the Role

The Operations Administrator is a key member of the Fund Service team, overseeing and maintaining the daily administration tasks of the Funds Services Trusts. This role involves monitoring inboxes, handling operational requests, and providing support to the team.

Responsibilities

  • Develop and maintain client/External Service provider relationships.
  • Provide administrator support for banking platforms, including password resets, user access management, and permission assignments.
  • Assist clients with daily Trust management by educating them on requirements, procedures, AML/CTF obligations, and payment instructions.
  • Respond promptly to client requests and ensure timely distribution of Trust-related communications and documentation.
  • Generate transaction reports, reconcile bank statements, and provide financial account information.
  • Liaise with clients, lawyers, accountants, auditors, the ATO, and bank relationship managers to resolve Trust matters.
  • Assist with Trust onboarding, including establishing registrations, opening bank accounts, and setting up banking platform access.
  • Maintain accurate client and Trust records in RAM, including managing access permissions and updating contact details.
  • Monitor outstanding BAS/IAS/ITR obligations and administer PPSR records.
  • Manage allocated projects and support Risk & Compliance initiatives.
  • Monitor team inboxes, maintain up-to-date Trust documentation and data, and collect key Trust information.
  • Coordinate with the Payments team for timely payment processing, review payment instructions, and approve reports.
  • Arrange execution of fund documentation with key stakeholders.
  • Ensure clients are successfully onboarded to the ZOHO payments portal.
