About the Role
Aspiriant is seeking a Client Service/Administrative Assistant to join their Client Service Operations Team. This role supports client needs and performs administrative tasks within a team setting, requiring excellent client service skills.
Responsibilities
- Show initiative and take ownership of each task from start to finish
- Answer requests in a timely and professional manner
- Communicate effectively in a positive manner to teammates in person, through instant messaging, and emails
- Monitor a joint email inbox and Business Process workflow queue
- Become familiar with Client Service Operations policies and procedures
- Provide ad hoc support to Directors and Managers
- Maintain client documents and records in accordance with compliance policies
- Establish and maintain client access to our online portal
- Greet clients and vendors at the front desk
- Act as the liaison with Property Manager regarding maintenance and repair
- Prepare expense reports and perform light calendaring
- Order groceries and office supplies
- Pick up and drop off mail and overnight packages
- Maintain the cleanliness and restocking of the kitchen and common spaces
- Participate in new hire onboardings
- Plan birthday celebrations and other office events
- Participate in departmental and ad hoc projects
Requirements
- Demonstrate proficiency with planning office events and outings
- Ability to follow detailed instructions with a high level of accuracy
- Impeccable ability to maintain confidentiality
- Excellent organizational skills
- Problem solving skills
- A self-starter who takes ownership of projects and completes them with minimal supervision
- Ability to set priorities among a variety of tasks and occasionally a heavy volume of work
- Strong communication skills; must be comfortable communicating with all levels of employees
- Demonstrate pride, integrity and initiative in all aspects of work
- Must be a team player
- 2-5 years in an administrative assistant role in an office environment
- Experience in a professional services environment, preferably in financial services and/or investment management is a plus
- Candidates must be comfortable with Aspiriant's policies regarding securities holdings, transactions, and trading restrictions.
