About the Role

The Market Design and Administrative Coordinator supports the Marketing & Communications team at TIFF: The Market by combining graphic design expertise with strong project coordination and administrative support. This role is responsible for producing high-quality creative assets while assisting with project timelines, asset management, stakeholder communications, and departmental administration.

Responsibilities

  • Assist in the ideation, design, and execution of creative concepts for TIFF: The Market marketing initiatives.
  • Create and adapt visual assets for print and digital platforms, including publications, social media, websites, email marketing, digital signage, event materials, banners, and environmental graphics.
  • Prepare presentation materials, mock-ups, and production-ready artwork for internal and external stakeholders.
  • Maintain brand consistency by applying approved fonts, logos, colours, imagery, and visual guidelines across all creative materials.
  • Produce multiple versions and adaptations of creative assets while ensuring accuracy and attention to detail.
  • Participate in creative brainstorming sessions, contributing ideas and collaborating with the Marketing & Communications team.
  • Assist in resolving creative and communication challenges by interpreting project briefs and incorporating feedback into revisions.
  • Prepare final artwork and production files for print and digital distribution.
  • Support the Senior Graphic Designer and Marketing & Communications Coordinator in managing project timelines, priorities, and deliverables.
  • Track creative requests, deadlines, approvals, and asset versions to ensure projects remain on schedule.
  • Maintain organized digital asset libraries, ensuring current versions are properly filed and accessible.
  • Coordinate internal and external communications relating to creative projects and marketing initiatives.
  • Prepare schedules, meeting materials, status updates, and project documentation as required.
  • Maintain complex tracking spreadsheets and databases to monitor deliveries, project milestones, marketing assets, and departmental activities.
  • Assist with coordinating print production, vendor communications, and delivery schedules.
  • Liaise with internal departments, external vendors, agencies, and stakeholders to support project execution.
  • Support departmental reporting and maintain detailed administrative records.
  • Effectively manage multiple projects simultaneously while meeting deadlines in a fast-paced environment.
  • Prioritize tasks based on business needs and guidance from leadership.
  • Monitor creative asset version control to ensure the correct files are distributed and archived.
  • Identify opportunities to improve administrative processes and creative workflows.
  • Provide general administrative support to the Marketing & Communications department as required.
  • Perform additional duties as assigned.

Requirements

  • Diploma or degree in Graphic Design, Visual Communications, Marketing, or a related field.
  • 2+ years of experience in graphic design, marketing, communications, or a similar role.
  • Advanced proficiency in Adobe Creative Cloud, including: Adobe InDesign, Adobe Illustrator, Adobe Photoshop, Adobe Premiere Pro.
  • Experience with Microsoft Office, particularly Excel, Outlook, Word, and PowerPoint.
  • Strong organizational and project coordination skills.
  • Adaptable to a flexible work schedule including some evenings and weekends.
  • This position requires being in office on a regular basis.
  • Candidates must be legally able to work in Canada at this time.
  • Visa must allow completion of the full contract for individuals on time-limited Visa status.
